Coordinator Responsibilities

These guidelines describe the expectations for county coordinators and assistant county coordinators within KYGenWeb.

Required

  • Stay subscribed to the state project mail list. New county coordinators will be subscribed by the state coordinator.
  • Do not block email from the state coordinator, assistant state coordinators, or the state mail list.
  • Respond to periodic roll calls. If a county coordinator does not respond to two consecutive roll calls and also does not respond to private contact attempts, they may be removed as coordinator.
  • Provide at least one alternate method of contact (such as postal address, phone number, or secondary email). This information is kept confidential and used only if email begins to bounce.
  • Notify the state coordinator whenever contact information for the county or assistant county coordinator changes.
  • Provide the names and email addresses of any assistant county coordinators so they can be listed and recognized on the state site.
  • Respond to concerns about the county site, including complaints, notices of bad links, and other technical or content issues, whether reported directly or through the state or assistant state coordinators. (This does not include research requests.)
  • Notify the state coordinator if you will be unavailable for an extended period of time.
  • Maintain respectful and appropriate behavior on the state mail list; derogatory, insulting, or embarrassing posts are not acceptable.
  • Maintains their county site according to the Site Requirements page.
  • County sites must also follow the USGenWeb® Policies to maintain project compliance.

Guidelines (Optional)

  • Assistant county coordinators are encouraged, but not required, to subscribe to the state mail list. Those who choose not to subscribe are not eligible to vote in KYGenWeb or USGenWeb elections.
  • Coordinators are encouraged to communicate regularly with project leadership and acknowledge the contributions of volunteers.
